We collect information you provide directly, including your name, email address, phone number, company details, and any other information you choose to share.

2. How We Use Your Information

We use your information to provide and improve our services, process dispatch operations, send operational notifications and SLA alerts, and communicate with you about your account.

3. SMS Data

If you opt in to SMS notifications, we collect and store your phone number to send automated operational notifications, critical SLA alerts, and dispatch updates. We do not share your phone number with third parties for marketing purposes. You may opt out at any time by replying STOP.

3.1 How Phone Numbers Are Collected

OnCallGrid collects technician phone numbers through two distinct, compliant opt-in mechanisms. In both cases the phone number, consent timestamp, opt-in method, and source (web form or inbound keyword) are stored as part of the user's account record.

(a) Web Form Opt-In.

Phone numbers are submitted through a secure profile configuration screen inside the OnCallGrid web application portal. The user must actively check an unchecked-by-default consent box before the number is stored or enrolled into the dispatch notification network.

(b) Inbound SMS Keyword Opt-In.

Phone numbers are captured when a technician texts the keyword START to the OnCallGrid system number (678) 252-5355 and confirms enrollment with a reply of Y. The exact conversational flow is:

  1. Technician → START to (678) 252-5355.
  2. OnCallGrid → "OnCallGrid: Welcome to the automated dispatch network. You will receive real-time operational notifications and critical SLA alerts. Msg frequency varies. Msg&data rates may apply. Reply HELP for help, STOP to opt out. Terms: https://oncallgrid.com/terms Privacy: https://oncallgrid.com/privacy. Reply Y to confirm."
  3. Technician → Y.
  4. OnCallGrid → "OnCallGrid: System authentication confirmed. You are all set to receive local facility network dispatches."

3.2 What Is Stored

For every SMS opt-in, OnCallGrid stores the following consent record. These fields are kept synchronized with Section 4 ("What is stored") of the SMS Evidence page:

  • Phone number (E.164 format)
  • Consent timestamp (UTC)
  • Consent method (web form checkbox or inbound START keyword)
  • Consent source (source page or inbound message reference)

3.3 No Third-Party Sharing

Mobile information, phone numbers, and SMS consent records collected through either opt-in method will not be shared with third parties or affiliates for marketing or promotional purposes. Information sharing is limited to subcontractors strictly necessary for delivering the dispatch notification service (e.g., the SMS carrier). All other categories of data are governed by the rest of this Privacy Policy.

3.4 Opting Out

You may opt out of SMS notifications at any time by replying STOP to any OnCallGrid message, or by reply HELP for assistance. Opt-out requests are processed automatically and acknowledged by the system.

3.5 SMS Consent and Mobile Information

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.

All categories of data sharing described in this Privacy Policy exclude SMS opt-in data and consent records. Text messaging originator opt-in data, consent records, and related mobile information will not be shared with any third parties for marketing purposes.

Information may only be shared with service providers strictly necessary to deliver SMS communications requested by the user (for example, the SMS carrier that transmits the message).

4. Data Security

We implement appropriate technical and organizational measures to protect your personal data against unauthorized access, alteration, disclosure, or destruction.

5. Client Data Ownership

All data entered into OnCallGrid by a client — including repair logs, technician records, asset information, maintenance records, and incident history — belongs exclusively to that client. OnCallGrid Inc. does not claim ownership of any client data. Client data is never used to train models, shared with other clients, or sold to third parties under any circumstances.

6. Data Isolation

Each client organization operates in a fully isolated data environment. No client can access, view, or interact with another client's data at any time.

7. Data Retention and Deletion

Upon termination of service, clients may request a full export of their data within 30 days. After 60 days following termination, all client data is permanently deleted from OnCallGrid servers unless otherwise required by law.

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page.
